Who is eligible to attend the festival?

All Young Adults (18-40 years), Final year Group 4 SSE students from Zone 1 and other Zones, National Young Adult Advisors and Regional Young Adult Advisors from Zone 1 are eligible to attend the festival.

 

Are SSE Group 4 invited?

In the spirit of our current International Young Adult initiative focused on Group 4 SSE to YA transitions, we are opening up a very limited amount of slots for our upcoming Zone 1 Young Adult Festival (ZYAF2019) to final year Group 4 SSE students only.

To be eligible to register for ZYAF2019, Group 4 SSE students need to:

  1. Be in their final year of SSE

  2. Have parental or guardian approval (Indicate Parent's contact in the registration form)

  3. Register and provide payment at www.zyaf2019.com by July 19th, 2019 at the very latest

  4. Suggest the names of any YAs from their geographies that could serve as their travel guardian and as a Big Brother/Big Sister at the festival

REGISTRATION AND PAYMENT

Are walk-ins welcome?

Unfortunately, walk-ins will not be accommodated due to campsite requirements. Registration is required to attend the festival.

 

What is the registration cost and what does it cover?

Campsite accommodation delegates:

  • Adults and children (6 and older): $130 USD

  • Children (5 and under)              : Free

This includes campsite accommodation from Friday evening to Sunday noon, all meals from Friday dinner to Sunday lunch, transportation to and from the local airports (ORD, MDW).

 

Non-Campsite accommodation/Day delegates:

  • Adults and children (6 and older): $90 USD

  • Children (5 and under)              : Free

This includes all meals from Friday dinner to Sunday lunch, transportation to and from the local airports (ORD, MDW).

 

The same fee is applicable regardless of the number of days attending.

 

How does the registration process work?

There are three important steps in this process.

  1. General information- provide your personal details along with your email to set up your account. You can use this email to update your details at any time

  2. Travel information- you can now use your email to log into the system to provide us with your travel information. This helps us to coordinate pickup and drop off.

  3. Payment- Please consider making payments promptly. Your place at the festival is confirmed only after registration fees are received.

 

What are the payment options:

PayPal is the preferred payment option at this time. More payment options may be added soon.

 

Can I pay at the venue?

Unfortunately, on-site payments will not be accommodated due to camp requirements. Payment is required in advance to confirm registration.

The last day to pay is Friday, July 19, 2019.

 

If I’m not able to attend the conference after registering, what is the refund policy?

A full refund will be given to those who let us know before Friday, July 19, 2019.

A partial refund may be given to those who cancel after Friday, July 19, 2019, but before Saturday, August 3, 2019.

 

I will be attending the conference with my family (sibling/spouse). Can we register together?

Each delegate has to register separately for the conference and please mention your spouse (if applicable) in the registration form. As for children, we request that one of the parents include them in their registration. This is to avoid making a double payment.

 

 

ACCOMMODATION

 

How will Young Adults be accommodated?

The campsite accommodation will be strictly separated by gender. Note that spaces are limited so please confirm your registration early.

 

Do you have family accommodation?

Please note that campsite accommodation will be strictly separated by gender. If a minor is accompanying, they will stay with one of the parents.

 

What should I bring?

Bedding: Bed sheets, sleeping bags or blankets, pillows cases

Toiletries: Bath towel and personal toiletries

Other: Water bottle, flashlight, sunscreen, umbrella, prescription medicine, insect repellent, jackets, sweater, hat, and comfortable shoes.

 

What if I prefer to stay outside the campsite?

Hotels/Motels are available nearby, a list of hotels will be updated here. Please note that you will have to arrange for local transportation to and from the campsite, hotels will not be providing any local transportation.

Approximate range of rates: $80 to $170 per night.

Benefits: 20 mins drive to Campsite but prepay/advance reservation rate ranges from 75-80$. 

3. FIVE POINTS BY SHERATON (third choice)

Benefits: 25 mins drive to Campsite but prepay/advance reservation rate ranges from 108-110$. 
 
4. COMFORT SUITES GRAYSLAKE - LIBERTYVILLE NORTH (fourth choice)

Benefits: Closest hotel to Campsite (15 mins drive) but nightly rate ranges from 115-125$.

TRAVEL

 

Recommended Airports and Arrival/Departure time

Airports:

  • ORD (Chicago O'Hare International Airport)

  • MDW (Chicago Midway International Airport)

Time: 

  • As we have a packed program schedule, we recommend your arrival by 1:00pm on August 9, 2019 and departure anytime after 5:00pm on August 11, 2019.

 

Coach buses will be arranged for transportation for these airports. Encourage and highly recommend young adults to travel in groups. This will greatly assist with transportation coordination.

Here are the times when pickup and dropoff is provided:

Pickup: Thursday 5pm-11pm, Friday 6am-midnight.  

Dropoff: Sunday 9am-10pm

What time can we arrive at the campsite?

The campsite will be open for registration from 12:30pm on August 9, 2019. Accommodation will be available only after 3:00pm.

 

 

IMMIGRATION

 

Do I need a visitor visa to enter the USA?

A visa may be required to enter the USA if you have a non-USA passport. It is recommended that you check with the local US Embassy, Travel Agency or airline you are traveling with. Here is a tentative list of countries of citizenship who require a visa to enter the US: Aruba, Barbados, Curacao, Guyana, Jamaica, St. Kitts, St. Lucia, Suriname, Trinidad & Tobago.


An invitation letter for visa purposes (template here: tiny.cc/zyaf2019-visa-invite) will be provided on request. Please confirm your visa information by July 05, 2019.  Contact your National Youth Coordinators for additional information.

 

 

DRESS CODE
 

What is the expected dress code?

Modest and comfortable. For the main programs, we recommend you wear modest attire reflecting the local culture of the nations in our zone (e.g. business casual or smart casual for both genders) rather than traditional South Asian attire. If you will be taking part in the outdoor activity component, athletic attire is recommended for that portion. Clothing that covers the shoulders and knees must be worn at all times. No shorts or sleeveless tops.

 

 

CHILD CARE

 

Will Childcare be provided during the festival?

Yes, childcare will be provided for children age 3 and above (more details to follow)

 

 

FINANCIAL ASSISTANCE

 

I want to attend but not able to pay the registration fees. Are there any scholarships available?

A limited number of scholarships may be available, this is dependant on donations and special circumstances. Please mention this request in the registration form or email contact@zyaf2019.com for more information.
